Part-Time Administrative Assistant Job Description

JOB SUMMARY

As the Executive Director's right hand and second brain, you'll be entrusted with a huge amount of responsibility and will be expected to exercise sound judgment in executing large volumes of tasks in challenging situations with minimal guidance.

The part-time Administrative Assistant (30 hours a week) is the first point of contact and primary administrative support to the Executive Director and to the organization as a whole. This position reports to the Executive Director and works collaboratively with all staff. Some flexibility with the schedule is required for events. Those with experience with veterans are encouraged to apply.


RESPONSIBILITIES

  • Handle and prioritize emails
  • Manage a calendar with many competing demands
  • Prepare a daily agenda
  • Prepare meeting agendas
  • Take meeting notes, tracking action items, open issues, etc.
  • Assist with personal errands
  • Arrange travel
  • Perform research
  • Think of creative ways to improve productivity and streamline the CEO’s time
  • Help with whatever special projects come your way
  • Answer, screen, and forward incoming phone calls and email messages primarily from veterans
  • Provide basic information about The Veterans Resource Program and our services
  • Maintain records and donor database management, including grant and individual donor data (electronic and hard copies)
  • Assist with board member support; take and produce minutes for board and select meetings
  • Assist with web maintenance and social media tasks such as maintaining lists, uploading new and revised documents
  • Collect and as needed, update materials for social media, website, newsletters, etc.
  • Serve visitors by greeting, welcoming, directing and announcing them appropriately
  • Prepare, send, and receive daily mail and deliveries
  • Coordinate and order office supplies and kitchen inventory
  • Maintain office and common areas
  • Assist with logistics and catering arrangements for meetings and special events

REQUIREMENTS

  • 3+ years experience as an Administrative Assistant or A.A. Degree
  • Extreme reliability
  • Outstanding written and verbal communications skills
  • Strong organizational skills
  • High availability; should be ok getting the occasional call on a weekend
  • Anticipate needs and problems
  • Calm under pressure
  • Strong work ethic
  • Must be able to maintain a high degree of confidentiality and discretion
  • Excellent organizational skills with ability to meet deadlines and independently manage multiple tasks with timely follow-through and adapt to changing needs
  • Ability to perform work accurately and thoroughly and to work effectively with minimal supervision
  • Ability to maintain a punctual work schedule
  • Excellent computer skills including advanced competency with Word, Excel, Outlook, Power Point required; knowledge of website maintenance, or graphic design a plus
  • Proficiency in QuickBooks helpful but not required
  • Ability to perform work accurately and thoroughly and to work effectively with minimal supervision
  • Sensitivity and comfort level working with veterans and vulnerable populations

Salary: $18.00 an hour for 30 hours a week
